JourneyTrack

See where every supporter came from and what happened next, from their first visit to a year of draws, built into Prastix and kept in your own database.

Every source, online and on paper

Most supporters don’t arrive through one tidy link. JourneyTrack records where each one came from, whether that was a search, a poster in a café or a stall at the summer fete.

  • Search

Visits from search engines, including your Google Ad Grants and other paid campaigns.

  • Email and messages

Every campaign email, SMS and WhatsApp message carries its own source, so you can see which one worked.

  • Social media

Posts and adverts on each network, told apart by tracked links you create in Prastix.

  • Posters and leaflets

A QR code for each poster, leaflet or newsletter, so print gets the same credit as online.

  • Events and volunteers

Sign-ups at stalls, fetes and door-to-door, recorded against the event and the volunteer or team.

  • Shops and venues

Sign-ups in your charity shops, cafés and partner venues, each with its own code.

  • Paper forms

Kiply reads the source code printed on each form, so paper sign-ups arrive with their source attached.

  • Supporter referrals

Supporters invite friends with their own link, and you see who brought in whom.

  • Your app and wallet passes

Activity in your own app and from wallet passes, alongside everything on your website.

The whole journey, from beginning to end

Because JourneyTrack is part of the platform, it sees each step as it happens, not just the clicks on your website.

  1. 1

    First visit

Where they came from, which page they landed on and what brought them there.

  2. 2

    Looking around

The pages they read, the games they played and the questions they asked before deciding.

  3. 3

    Signing up

Online, in your app, at an event or on paper, with the original source carried through.

  4. 4

    First payment

When the Direct Debit or card payment is confirmed by your provider, not just when a form was sent.

  5. 5

    First draw

Their first entry, their first result, and whether they came back to check it.

  6. 6

    Staying in touch

Messages read, results checked, members area visits and app use over the following months.

  7. 7

    Still playing

Who is still playing after three, six and twelve months, and what they’ve given in that time.

  8. 8

    Leaving, and coming back

Failed payments, cancellations and the reasons given, and which supporters return after a win-back campaign.

Campaigns, planned and measured

A campaign in Prastix is one idea across every channel: the posters, the emails, the social posts and the stall at the fete.

Links, codes and QR codes
Each campaign gets its own tracked links, short codes for print and QR codes for every poster and leaflet, made in one place.
Budget and goals
Set what you plan to spend and what you hope to achieve, then watch sign-ups and first payments against the target.
A shared calendar
See every campaign, send and event on one calendar, so two teams don’t email the same supporters in the same week.
Spend you record yourself
Printing, stall fees and advertising bills added against the campaign, so the cost per supporter is real.
Alerts
A message to your team if sign-ups suddenly drop, a link breaks or a payment step starts failing.
A record afterwards
What ran, what it cost and what it brought in, kept for next year’s plan and your trustees’ report.

Audiences that keep themselves up to date

Build an audience once and it stays current, adding and removing supporters as their circumstances change.

Who they are to you
By product, how long they’ve played, how they pay, where they signed up and the area they live in.
What they do
Recent visits, results checked, messages read, games played and app use.
Where they are in the journey
Signed up but not yet paying, new this month, at their first anniversary, or recently lapsed.
How they like to hear from you
Email, SMS, WhatsApp, post or app, using the channels each supporter has agreed to.

Rules you can’t forget. Every audience leaves out supporters who have excluded themselves or withdrawn consent, automatically. Audiences can’t be built from health or other sensitive details, and the size is shown before anything is sent.

Test it before you commit

Try two versions of an email, a page or a sign-up form on a share of your audience, then send the better one to everyone else.

  • Subject lines, wording, images, page layouts, sign-up steps and send times
  • Results in plain English, including when there isn’t yet enough evidence to choose
  • Measured on what matters, such as first payments and who’s still playing, not just clicks
  • Holdout groups, to show what a campaign achieved compared with sending nothing
  • Every version checked by JourneyCheck. Terms, prices shown and safeguards are never part of a test

Journeys that run themselves

Messages triggered by what each supporter does, in the channels they’ve chosen, so nobody is forgotten between campaigns.

  • Welcome

A short series for new supporters: what to expect, when the draws are and how to check results.

  • Payment problems

A friendly note when a Direct Debit fails or a card expires, with an easy way to put it right.

  • Results and milestones

Results for supporters who like reminders, and a thank you at their first anniversary.

  • Win-back

A gentle invitation back after a supporter lapses, never sent to anyone who has excluded themselves.

Credit where it’s due

Supporters often see a poster, then an email, then a social post before they sign up.

First touch
Which source first brought each supporter to you.
Last touch
What finally persuaded them to sign up.
Shared credit
Credit split across every source along the way, so print and events aren’t undervalued.
Over time
Groups of supporters who joined in the same month, followed side by side through their first year.

Reports your team will use

Answers to the questions trustees and fundraising teams actually ask, without exporting everything to a spreadsheet first.

Cost per supporter
Add what each campaign or event cost, and see what each new supporter cost you by source.
Who stays
Retention by source, so you can see which campaigns bring supporters who keep playing, not just ones who sign up.
Where people drop off
Each step of sign-up and payment, with the point where people give up made plain.
Value over time
What supporters from each source give over their first year, and over their time with you.
Events and volunteers
Sign-ups and first payments from each event, stall, shop and team.
Campaign side by side
Compare emails, posters and adverts on the same measures, from first visit to first draw.

Tracking that respects supporters

JourneyTrack is built for organisations that hold their supporters’ trust. It works within their choices, not around them.

Choices honoured
Visitors’ cookie and consent choices are respected by every part of JourneyTrack, recorded once and applied everywhere.
First party
Tracking runs on Prastix, not through outside trackers. Nothing is shared with anyone else unless you switch on an integration.
In your database
Journey data is kept in your organisation’s own database, for as long as your retention schedule says and no longer.
No small groups
Reports never show groups so small that a person could be picked out.
Self-exclusion comes first
Supporters who have excluded themselves are left out of marketing audiences and win-back campaigns automatically.
Staff see what they need
Roles decide who can see journeys and reports, and every view of individual records is logged.

Google integration, if you use it

Many charities already use Google’s tools. Switch on the ones you use, and JourneyTrack sends them what they need, only where visitors have agreed.

  • Google Analytics

Page views, sign-ups and first payments sent to your Google Analytics 4 property, following each visitor’s consent choices.

  • Google Tag Manager

Use your own container for the tags you manage, loaded only after the visitor has agreed.

  • Google Ads and Ad Grants

Confirmed sign-ups and payments reported back as conversions, so your Ad Grants and paid campaigns can be measured properly.

  • Search Console

See which searches bring people to your site, next to what they did once they arrived.

  • Sheets and Looker Studio

Scheduled exports of your reports, summarised rather than person by person, for your own dashboards.

  • Google Workspace sign-in

Your staff sign in to Prastix with their Google Workspace accounts, and Google Wallet passes are available to supporters.

Off until you switch it on. Each Google integration is optional. When one is on, the data it sends goes to your own Google account, so your privacy notice should say so. We’ll help you word it.
